Old Business:
Jerry Meyer read the minutes of the last meeting held October 9, 2000. No changes were made.
New Business:
Jerry Meyer stated that until official elections are held we should elect a temporary President, Vice President and Recording Secretary. The results were: President: Jerry Meyer Vice President: Brenda Gallagher Recording Secretary: Nicole Price
Jerry Meyer stated that he had been given the wrong date for the Parish Council Meeting. The Parish Council Meeting for Jerry to present our organization was to be held October 23, 2000. Jerry Meyer to leave meeting at 7:45 p.m. to present our organization.
Brenda Gallagher read the By-laws and Constitution that she had developed using a copy of the Roger Bacon Band Booster and the St. Vivian Athletic Booster By-laws and Constitution. A committee of three people (Brenda Gallagher, Suzann Warden, and Randy Kent) will review the By-laws and Constitution. A copy of the final draft of the By-laws and Constitution will be presented at the next meeting. Jerry Meyer to assist when needed. The meeting to develop the final draft will be held Thursday, October 26, 2000.
As part of the By-laws and Constitution, Brenda stated that at least two committees should be formed for Fundraising and Membership.
A membership fee of $10 per family was agreed at this point for dues. Further discussion regarding when the payment is required to be discussed in future meeting. Brenda stated that membership could be based on the school year starting August ending June.
Brenda Gallagher stated the board once elected should appoint a treasurer. She proposed that check-writing authority would only be vested in the President of the Boosters, the Treasurer, and Father Jack.
Jerry Meyer spoke with Mr. Vance and presented our organization. Mr. Vance e-mailed other schools to investigate how they handle funds for arts/music programs. Three e-mails received. E-mails provided fund raising tips and will be used as reference in future meetings. Jerry Meyer has copies for those who would like to review them. Mr. Vance stated that no more fundraisers were to be held through the school per Father Jack. Jerry stated that our organization was very similar to the Athletic Boosters only for performing arts/music. Mr. Vance told Jerry that no other elementary schools in the archdiocese had a Booster program for the performing arts.
Mary Beth Hoagland stated that the Christmas play and music for school masses was part of the school curriculum. The Spring Play is optional for students. Monies from the Boosters could be used for the Spring Play and other school performing arts/music functions possibly. Mary Beth stated that one of the items on her wish list was to take the Junior High Choir on a trip.
Jim Meyer stated that the school should be responsible for all items required for the school curriculum. Randy Kent agreed and stated that the Performing Arts Booster monies should be used for extracurricular activities. Jerry Meyer expressed his concerns regarding Mary Beth and Randy being reimbursed for all personal monies used for the school curriculum items. Mary Beth and Randy stated they were reimbursed.
Jerry Meyer stated that Mary Beth and Randys focus should be on the children and that the Boosters through committees could assist as required.
Brenda Gallagher stated that Mary Beth and Randy should develop a prioritized "wish-list" that will assist them with their needs. Jim Meyer stated the list would aid in telling others what the money is being utilized for and that it could greatly assist in all fund raising areas. The public could then understand how their donations were being utilized.
Mary Beth stated that approximately $1500 was left over from last school year. This money was collected through admissions, donations and flower sales. She was told that the money was considered "absorbed" at the end the year 2000 if not used. Mr. Joe Zins told Mary Beth that the money would not be "absorbed" and it was to be used for the music program. Mary Beth stated she had kept all paperwork indicating the money was to remain in the music program.
At 7:45 Jerry Meyer left to make presentation to Parish Council.
Fund Raising ideas were mentioned by the group (i.e. Talent show). Jim Meyer stated that getting the Free Spirits involved would be a great idea. They could assist on different committees. Committee names were mentioned: Costume, Concessions, Programs, Flowers, etc.
Brenda Gallagher and Randy Kent discussed in the future having Parish Musicals.
Suzann Warden discussed Grant Writing.
Mary Beth stated that Christmas is just around the corner and that she needs volunteers now to help. Mary Beth is sending out a flyer through school mail requesting volunteers. She stated that Polly Lacker and Joan Gory were very helpful during the Spring Musical. She asked if she could request those volunteers that wished to help with the Christmas Musical to the next meeting. Everyone was in agreement.
Nicole Price mentioned using the Christmas Musical as the first fund raising project by getting a program printed and selling advertising and patron ads. Nicole Price to investigate with printer. Randy Kent and Mary Beth agreed to let Nicole begin the process.
Jerry Meyer returned from the presentation at the Parish Council Meeting. He stated the council was in favor, but wanted to discuss the organization further and would get back to us.
Jerry requested e-mail addresses from all members. Those e-mail addresses are listed by the Attendees name.
The next meeting is scheduled for Monday, October 30, 2000 at 7:00 p.m.
