St. Vivian PTA Meeting Minutes
September 19, 2007
In Attendance:

II. Secretary’s Report:
Minutes from the 08/08/2007 board meeting were approved via email review and posted to the St. Vivian website.
Updated email/address list of current members reviewed.
Treasurer’s Report:
Debbie Ruter reviewed PTA checkbook with balance and comparison of income vs. expenses;
Comparison inclusive of all of last year; this can be a good tool for budget planning;
Balance is $7900.00; outstanding is the cost of the AC units ($3,000.00), cost of bus trips, and approximately $1,300.00 for the teachers convention;
Received check for $146.00 from Market Day; deposit for $275.00 for PTA dues received to date;
Reminder of submitting PTA dues in monthly newsletter; explored option of having directories printed free of charge to offer for PTA dues. Sara Schindler agreed to follow up regarding directories.
Principal’s Report:
Jean Margello reported that 352 students are currently enrolled in grades K-8; 24 students currently enrolled in pre-school (twelve 3 year-olds & twelve 4 year-olds);
Teachers web pages may be up and running by next week; three smart-boards have been purchased;
With potential increase in auxiliary service money; more smart-boards could possibly be purchased; training for teachers come with purchase from smart board company;
PTO survey fundraising opportunities discussed; someone needed to organize the surveys and be a contact person - Susan Taylor and Amy Gulleman-Miller agreed to assist with this.

Old Business:
Market Day: A few volunteers are needed on 10/29/07 at 2:30 at Ursuline Hall to help distribute the Market Day items for pick-up. Tami Prophater, Hope Maier, and Susan Taylor are able to assist on that day. Help may be needed on additional days as well; Online ordering cannot be done this year for Market Day fundraiser.
AC Units: The final cost for these approved units is on target of the approved $3000.00 allotted for the purchase; PTA is very appreciative of all the thank you notes received from the students, teachers, and parents; PTA would like to have the thank you notes available for viewing during Grateful Believers event.
Playground: The cost of highway paint supplies for possible map and other games to be painted on playground blacktop is approximately $400.00; this amount approved by PTA. The PTA will explore least expensive cost options and the use of volunteers for this project. Game ideas suggested for painting on playground blacktop were: a big circle, a little circle, painted corn hole/targets with bean bags; will seek volunteers to make bean bags in newsletter and Quicklets.
PTA Dues: Approximately $275.00 in PTA dues collected so far. A reminder for PTA dues will be listed in the newsletter/Quicklets; The PTA received $1,198.00 in dues last year.
Buses: According to Jodie Bender, Twin Towers has been very accommodating; open to other places that can take 50 children;
New Business:
PTA determined that online voting can occur in the event of an emergency when it is too difficult to call members together on short notice.
Job list was passed to present members for review. Connie Allen will be heading Everybody Counts.
Pumpkin Carving scheduled for 10/29/2007 at 7:00 pm. This is referred to as Pumpkin Carving Family Night in Friday Notes. This is also the same day as wrapping paper pick-up.
Christmas Tree/ornaments: Maria Henn willing to assist with ornament/crafts. The Christmas tree will be displayed in the cafeteria. Breakfast With Santa: Emily Hutzel and John Guagenti to assist.
Walk-A-thon: Liz Wilking suggested option of moving this event to a different time of year because of various other fundraisers occurring at the same time. Suggestion made of moving this event to the fall, but then the fall fundraiser would then have to be scheduled at a different time. This option will be revisited. Hope Maier suggested that students pursue service hours for walking and raising funds.
Other Business:
Ministry Fair: Grateful Believers will be held on 10/20 and 10/21 in Activities Center; 75 groups doing a display; help needed for working the PTA booth.
Members need to be more cognizant of using PTA’s correct full name (Parent-Teacher Activities).
