St. Vivian PTA Meeting Minutes
October 19, 2005
7:00 p.m. Faculty Lounge
Members Present:
Julie Bergmann, Amy Gulleman-Miller, Kim Hafele, Hope Maier, Debbie Ruter, Shelley Hoesl, Mike, Ward, Heather Batdorf, Amy Hagedorn, Jean Margello, Judy Rolfert
Welcome/Opening Prayer:
Shelley called the meeting to order and shared a prayer with the group for strengthening relationships.
Treasurer's Report:
The balance of funds is close to being reconciled there is currently about a $200 dollar discrepancy which is being looked at. A reminder that forms for reimbursement need to be filled out along with the original receipt or a photocopy attached to the form.
Principal's Report:
Father Paul and Jean have been going to the “futures” meetings regarding our cluster of Parishes and what could potentially be happening to the schools in those parishes over the next few years. Those parishes include: St. Vivian, St. Bartholomew, St. James of the Valley, Our Lady of the Rosary, and St. Matthias.
Jean also circulated a wish list from the staff for the school.
Old Business:
1. Playground update: Mike - New basketball hoops are here and being used He will coordinate the set-up and take down of them. A list was sent home in the Friday notes for donations of indoor recess games. The back parking lot will soon be painted with a map of the U.S. and other outdoor games.
2. Sally Foster update: - Shelley Last minute orders are still coming in. We had about 80% of the families participate in the fundraiser.
3. PTA budget: Shelley - cannot finalize until we are sire what we are going to spend the money on Probably will be ready in January.
4. School Directories: Amy - These were sent out last week
5. Halloween Pumpkin Carving: Mike - date set for October 27th
6. Jingle Bell Shop: Julie - Jean to provide a schedule of shopping times of students Julie and Heather are working on volunteers and also purchasing a variety of new items and possibly crafts to sell this year.
7. Breakfast with Santa: Heather - the date is Sunday December 4th after the 8:15 and 10:00 Masses.
New Business:
1. Shopping bracelets: Amy - Bracelets will be available for TriCounty Mall on November 13th and Northgate Mall on November 28th If interested contact Amy Miller
2. Playground Grant: Shelley - Lowe’s has grants available to non-profit organizations. Playground equipment is an item that is available from Lowe’s with their grants. We would need a detailed budget and description of work to be completed. There is a March deadline for submission. Deb Ruter agreed to help with this possible project.
3. General PTA meeting: Shelley - Proposed a presentation sponsored by PTA by Debbie Gardner, a well respected expert in the field of self defense. Motion was made and approved to reserve date for this speaker in February.
4. Thanksgiving Day Race: - Jan McManus handles the school effort for volunteers, Kim Parker to be contacted to see if she is still interested in recruiting workers. The workers for the race are paid and the money earned goes to PTA.
5. Christmas Party for Staff: In the past PTA had donated $250 for that faculty Christmas Party. A motion was made and approved to give the same for this year’s party.
Other Business:
1. Amy Miller proposed having a Grandparent’s day at St. Vivian She also proposed a Fat Tuesday celebration on February 28th as a social event for the families in the school. She will meet with Jean to discuss and bring feedback to next month’s meeting.
The meeting was adjourned. The next meeting is November 16th at 7:00 p.m. in the faculty lounge.
