Parent-Teacher Activities (PTA) Board Meeting Minutes

October 17, 2007

In Attendance: Connie Allen, Laurie Brenner, Dee Carden, John Guagenti, Amy Gulleman-Miller, Amy Hagedorn, Ann Hoffman, Jean Margello, Tami Prophater, Ashton Raymond, Judy Rolfert, Debbie Ruter, Sara Schindler, Lori Spinnenweber, Julie Stark, Susan Taylor, Mary Wiley, Liz Wilking.

I. Welcome/Opening Prayer:

• Tami Prophater

II. Secretary’s Report:

• Minutes were reviewed from September 19, 2007 meeting. Motion approved.

III. Treasurer’s Report:

• Debbie Ruter reported that $526.00 in PTA dues have been received thus far, and this amount is down from last year. Directories have already been paid for this year, but discussion for PTA membership/directories was tabled until February or March 2008. PTA dues may be down due to lack of envelopes, and suggestion made to do envelopes for next year. Perhaps include these envelopes for PTA dues at the Ministry Fair.

IV. Principal’s Report:

• Jean Margello announced that the Terra Nova testing is almost complete, and this is the last week for scheduled tests. Make-up tests will occur the following week. She also thanked the PTA for paying for twelve teachers for OCEA convention.

V. Pastor’s Report:

• None

VI. Old Business:

• Market Day Fundraiser: Tami Prophater, Hope Maier, and Susan Taylor are tentatively scheduled to help on October 29th at approximately 2:00-5:00pm; Amy Hagedorn may also be able to help. Lori Spinnenweber may also be able to help at the 8:00 pm time.
• Pumpkin Carving: Flyers will go out in the Friday envelopes. Prizes and gift bags have been ordered. Mary Wiley will oversee the crafts and games.
• Breakfast with Santa: John Guagenti spoke with Emily Hutzel, who will be coordinating the event this year. More details to come from Emily as the event approaches.
• Christmas tree ornaments scheduled for December 1, 2007.
• PTA donated for the Windy City Players, and the children enjoyed the Cinderella performance.
• Playground paint: Shelly will follow up as soon as fall sports season ends. No donations received thus far regarding filler for beanbags. Inquiries will be made into the do-at-home group of volunteers. At least 100 bags are needed.
• Santa Shop is reserved for Ursuline Hall, December 5-6, 2007; set-up for the event will occur on December 3-4, 2007.
• Pancake Breakfast is scheduled for 12/9/07.

VII. New Business:

• Suggestions were made regarding e-mail list in the directory as a possible fund raiser and/or as a trial run with some sponsors, but the e-mail list might not need to be made available to the public for sale. This suggestion will be re-visited at the February/March 2008 meeting.

• Drug-Free advertisement for the back cover of the 2008-2009 Directory was reviewed. PTA will need to approve this before this goes into effect, but will have to wait until the drug-free funds are approved, which will be used to pay for the Directory. A message explaining use of this advertisement to be in Friday notes. The majority of PTA members were comfortable in pursuing use of these funds for the Directory.
• The PTA Newsletter went out and will be sent out the first week of each month.
• PTA dues increase was tabled until February-March, 2008.
• No PTA meeting is scheduled for December, 2007.
• Marketing Committee: met for several months; addressed website committee is an offshoot; PTA website to get more information out? Approach different groups for information to add to the webpage. Marketing/enrollment strategies for both school and church. Debbie Ruter will do PTA website.
• Ministry fair: PTA member needed for 4:30 Mass at Activity Center on October 20-21, 2007.

VIII. Other Business:

• Connie Allen volunteered to collate volunteer job list.
• Fundraising: Tami Prophater motioned for committee of four to meet outside of PTA to explore

other fundraising opportunities, then prepare it by a designated date. Amy Hagedorn, Liz Wilking, Connie Allen, & Tami Prophater volunteered to form this committee. Motion approved.

• Dance is scheduled for 04/26/2008.
