St. Vivian PTA Meeting Minutes

May 18, 2005

Welcoming/Opening Prayer

Amy Hagedorn called the meeting to order and led the group in prayer.  Introductions were made by every attendee.

Secretary’s Report

Meeting minutes from 4/20/05 were reviewed and approved.

Treasurer’s Report

Account balance is $16,445.86.  Total expenses for the month are $4,621.23.  Total deposits for the month are $12,706.04.

Net funds raised by the Walk-A-Thon were $11,052.  Our goal was achieved!

No report.

Old Business

  1. Walk-A-Thon – Amy Hagedorn reported our $11,000 goal was met.  The faculty loved the T-shirts and suggested buying them at the beginning of the year to use for field trips and other events such as Walk-A-thon to aid in finding their students.
  2. Faculty Appreciation Dinner – Dinner was held on Tuesday May 10th, at 6:30 p.m. at The White House Inn.  The meals were delicious.  Everyone attending raved about the night.  Many thank you cards were sent in by the faculty and staff showing their appreciation for such a nice evening.
  3. Ice Cream Social – Was held on Wednesday April 27th, at 7 p.m. in the Cafeteria.  There was a large turnout.  Next year need to put Clowns/Face Painting and ice cream line on opposite ends of the Cafeteria.  Also need to have another person painting faces.
  4. Moeller Greenhouse – Reported the raising of $53.13.  The cold weather the weekend of the sale caused low turnout.  For the effort, agreed to try again next year.
  5. Track & Field Day – Will be held Thursday, June 1st.  Students will be eating outside.  PTA will be supplying the lunch.
  6. Graduation – Lori Spinnenweber conveyed that volunteers are needed to help the night of Thursday, June 2nd.  Setup will take place the night before.  Sabre Awards will be presented to one graduating girl and boy.
  7. St. Vivian Festival – Board agreed to donate $150 for a basket for the festival and $100 for Booth Sponsorship.
  8. Playground – Mike Ward requested $3,000 to purchase equipment part of Phase I (cart, basketball poles, painting parking lot).  Phase II will require additional support from other groups in the school and funds.  Will follow-up next year.

New Business

  1. Write Stuff – Lori Spinnenweber found a new service through Markus that will package the supplies in a cardboard carrier and can provide all of the colors for folders/notebooks required by the teachers.  Prices are a little more than Write Stuff but Markus provides exactly what is needed.  Board decided to try Markus.  Checks made payable directly to Markus.  Also found a source for book covers.  Board agreed to purchase 150 Boy and 150 Girl book covers.  Amy Gulleman-Miller to order.  Those not sold can be returned to the company.
  2. Windy City Players – Company contacted St. Vivian offering a discounted price for a Tom Sawyer play in the Fall.  Board agreed to pay for half of the play at $125.
  3. 2005-2006 School Calendar – Shelley Hoesl will meet with Jean Margello to establish the PTA dates on the Parish calendar.
  4. 2005-2006 Job List – Volunteers were requested and noted for the various activities planned for the next school year.  The list will be updated and distributed at the August board meeting.

Other Business

  1. PTA Budget – Shelley Hoesl and Mike Ward will develop a budget to be used for planning purposes during the 2005-2006 school year.  Will provide a draft form at the August board meeting.
  2. Blinds for School – Many of the blinds on the south side of the building are in poor shape.  Board discussed if replacement of the blinds was our responsibility or more of a general parish expense for building upkeep.  Mike Ward to investigate.
  3. Appreciation of Service – Outgoing President Chris Monzel extended his thanks to the Board Members serving with him.  The Board also provided Chris with a gift card to show appreciation for his leadership.
