St. Vivian PTA Meeting Minutes

August 17, 2005

Members Present

Welcome/Opening Prayer

Shelly Hoesl called the meeting to order and shared a scripture passage from Proverbs

 

Secretary’s Report

Minutes from the May 18th meeting were reviewed and approved.

 

Treasurer’s Report

Mike Ward was not in attendance to give full report.   Shelly stated that Kathy Rothschild is currently auditing the PTA account books.  As of this meeting we do not have a firm ending balance from last year. There are approximately $10,000 dollars in the PTA account. This year there will be a special form that will need to be filled our in order for expenses to be reimbursed. This form will need to be submitted along with any pertinent receipts.

 

Principal’s Report

Mrs. Margello noted that there are several new teachers this school year.: Amanda Borgman -1st grade, Katie Frambes -3rd grade, Ann Furey -7th grade math, Gina Pennycuff -7th grade, and Sharon Davis - technology/computer.

There are now phones in each room and a new phone system which allows for voice mail and internet use in the classrooms.

New room darkening shade have been purchased for the junior high science room and new blinds for all of the other rooms will be replaced at the rate of 2 rooms per year.

St. Vivian  School has a total of 346 students (383 including pre-school) this year , and that is about 20 students less than last year.

 

Old Business

  1. Track and Field Day - Heather Batdorf reported that she had less volunteers this year than in past years, but overall the day went well.  She suggested planning the event earlier in the year this school year in  maximize volunteer base.
  2. School Supply Kits - Kits will be available at open house for the 32 families who ordered kits this year. This year a new supplier was used. Lori Spinnenweber plans to do a brief customer satisfaction survey at  pick-up this year.
  3. Graduation - Kim Parker and Nancy Burke handled all the related events this year and all went well.  Kim and Nancy are retiring this year. 
  4. Festival - PTA paid for the painting of the Putt - Putt equipment.
  5. Campbell Soup Labels - Amy Zust  will coordinate this again for the coming school year. Shelly Hoesl will notify Amy of any volunteers.  Some classes received gym equipment and play items  with the soup label rewards.
  6. Market Day - Heather Batdorf received volunteer schedule and would like to see everyone from   PTA sign up to help on one of their children’s grade’s month.  Amy Miller will put reminder in the PTA newsletter.
  7. Secret Pal -  Barb Ballinger is currently out of town PTA will be in contact with her to confirm her desire to continue with this project.
  8. DVDs and TVs were purchased for some of the classrooms this year
  9. Bullying Policy - The Education commission made a few changes to the policy. A note will go home to families updating them on the changes.
  10. Playground Update - $3,000 has been allocated for equipment and paint.  Mike Ward is intending to start on this in the next few weeks.  This is phase one,  Phase two which is a permanent structure is currently on hold.

 

New Business

1.     Open House- PTA  will be giving each teacher $100 start-up money to use as needed. Mrs. Heyob, Mrs. Heckle, Mrs. Borgman, Mrs. Shumate, Ms. Hendricks, Mrs. McManus, Mrs. Rolfert, Miss Frambes, Mrs. Liderbach, Mrs. Glassmeyer, Mrs. Surber, Miss Becker, Mrs. Bruce, Miss Furey, Mrs. Pennycuff, Mrs. Daubenmerkl, Mrs. Saylor, Mrs. Hanson, Mrs. Fields, Mrs. Helms, Mrs. Stephan, Mr. Hofbauer, Mrs. Hern, Mrs. McMahon, and Ms. Davis will all receive $100 from PTA funds.

2.     Viva St. Vivian - Date is September 17th.    Doors open at 7pm with the show starting at 8pm. Tickets are $10 and can be purchased in advance or at the door. Amy Miller expects to sell 400 tickets. The entertainer’s cost is $600  Proceeds will benefit PTA. There will also be door prizes and split the pot tickets.

3.     Sallly Foster - September 9th is the kick-off for sales  Sale ends September 30th with forms being due back October 7th.  Pick-up date has not been set and Ursuling Hall will need to be reserved for the entire weekend of pick-up to maintain control of the inventory.  Shelly will follow-up with Janinie Winters.

4.     Donut Sunday - Tentatively set for April 9th.  Amy Hagedorn will check on date  Julie Bergmann will be contact person.  Will also need 2 workers for each Mass that weekend.

5.     Santa Shop - Julie Bergmann will follow-up wih Theresa Eve .

6.     PTA budget – Shelly reviewed draft of budget. She asked everyone to check budget and confirm numbers for last year in writing by the next meeting to help finalize beginning and ending balance.

7.     Other Business                                                                                                            

A. The current PTA job list was reviewed, Shelly suggested having a chairperson steer each activity.                                                                                                   

B. School directories are due to be completed by the end of September.             

C. Jean Margello will confirm date for Windy City Players.  PTA and FANS will split the cost of this event.                                                                                    

D. Cafeteria workers are still needed, especially on Tuesdays.

E. Shelly H. suggested we send a handwritten welcome to each of the new families.

 




Meeting was adjourned.  The next meeting is Wednesday, September 21st at 7:00p.m.
