St. Vivian PTA Meeting Minutes

April 26, 2006

 

Members Present:

Shelley Hoesel, Mike Ward, Julie Bergmann, Emily Hutzel, Amy Hagedorn, Amy Miller, Deb Ruter, Judy Rolfert, Kim Hafele, Jean Margello

Treasurers Report: 

Mike Ward.  The candle sale netted 238 dollars in profit.  Motion to approve minutes was accepted.

Pastor’s Report: 

Shelley Hoesel reported that she met with Father Paul along with the head of Boosters, and Fans to discuss fundraising.  It was decided that a subcommittee of Temporal Affairs would be formed to study the financial situation of the school and Parish.  This committee will formulate a plan to keep the school and Parish functional and thriving. They will look at:

  1. Ways to increase stewardship
  2. Ways to involve more people with financial backgrounds.
  3. Identify ways in which we can raise money to help with the operating budget of the school.
  4. Father Paul welcomes volunteers to this committee.
  5. It would benefit PTA to have a representative on this committee,

Principal’s Report: 

Jean Margello; Jean is working hard at trying to bring new students into the school.  St. Vivian is a voucher school which means that we can take up to two voucher students per grade through the state run program.

The Windy City Players have agreed to return next year for a fee of $250 which is very reasonable.  We would split the cost with Fans. Our portion would be $125.  Motion was approved by the board to pay the $125 for the Windy City Players.

Old Business:

  1. Thanksgiving Day Race Update:  PTA received $600 profit sending workers  to the race.   A reminder to contact Kim Parker earlier in the season in order to recruit more student and parent workers.
  2. Donut Sunday:  Amy Hagedorn stated that it went well.
  3. Candle Sale:  PTA made $238 from the sale
  4. Ice Cream Social:  Will be May 3rd in the cafeteria.  Clowns from Children’s Hospital will be coming to entertain. PTA will announce the new board members at the event. They are:  Susan Taylor, Tami Prophaeter, Diane Schmidt, and Mary Wiley.
  5. Walkathon:  Amy Hagedorn and Deb Ruter:  Plans are going smoothly. There is a need for a few more afternoon volunteers.  There is also a contest for an out of uniform week in the 6th through 8th grades for the class bringing in the most money.
  6. Faculty Appreciation Dinner:  Will be Tuesday May 9th at the White House Inn
  7. Track and Field Day:  All is set for May 31st.
  8. Graduation: Nothing to report.
  9. School Kits:  PTA need to re-evaluate whether we should offer this again next year.
  10. New Board members:  We have four new members to date.  They are listed above in item #4. 

New Business:

  1. Fundraising for next school year:  There will be two major fundraisers for next year. The walkathon will be in the spring and a motion was put before the board to use Market day for the fall fundraiser.  Market Day offers gift-wrap, gift and food items through a catalogue. The board approved the motion.
  2. Cafeteria workers:  Amy Hagedorn:  It has been difficult to get enough volunteer this year In the fall PTA will need to decide protocol for supplying workers. It is too late to change this year because it needs to be able to go in the family registration packets.
  3. Job Lists:  A list will need to be circulated at May meeting to establish chair people etc.,

The meeting was adjourned. The next meeting on May 17th will be the final meeting of this school year.  Everyone is asked to bring a snack to share. New board members will be in attendance as well.
