Board Meeting Minutes

April 17, 2002

 

 

WELCOME/OPENING PRAYER

Bridget welcomed everyone and led the Board in prayer. Those in attendance:

SECRETARY'S REPORT

Attendance Sheet was taken. Minutes were accepted.

 

TREASURER'S REPORT

There were only a few minor expenses. PTA paid for two buses this month. In the future they will direct the request for the choir bus to FANS. Account Balances $12042.71 Checking and $2884.29 Savings,

 

FATHER JACK

Father Jack was not in attendance.

 

PRINCIPAL

Mr. Cavanaugh was not in attendance.

 

OLD BUSINESS

a) 60" ceiling fans will be purchased for $49.00 each at Home Depot by Kim Parker. Board approved getting them so that they could be installed as soon as possible. $4000 dollars was approved for the fans and whatever other supplies would be necessary to complete the job.(ie electrical). If it goes higher Kim will call Bridget for a phone vote.

b) The playground equipment was given to the teachers. Some equipment is still on backorder(ie jump ropes and hoolahoops). The picnic tables have also been ordered. They will be put behind Usaline Hall. Nothing was discussed about the fencing and gate.

c) Pancake Breakfast people are ready for Sunday. They asked if anyone had some high chairs to help out families with young ones

d) Ice cream social is Wednesday April 24th at 7:00 pm. Bridgett will be showing the high school boys the area on Friday the 19th. UDF and Meijer were very generous this year. The entertainment is the St. Xavier High Break Dancers.

e) Walk-a-thon committee reported that the pep rally put on by the 8th graders went well at school. The PTA is trying to come up with non-monetary prizes for winners this year. Mr. Cavanaugh is helping in this regard. The child who brings in the most money will be made principle for a day. If the school raises $11,000 dollars then he will stay on the roof for a day. Also the 8th graders wanted to have a contest as to who could raise the most money, girls or boys. The prize for this will be three days out of uniform for the group who does this. This year PTA will raffle off many of the prizes(2 day passes to Kings Island, 2 parties at Jillians, Reds Tickets, sandwiches, ice cream) with the coupons earned from collecting money. If the children turn in their money by certain due dates they will earn triple and double tickets for their contributions.

 

NEW BUSINESS

a) Bridgett asked that each committee chair write a summary of the job for the person next year and turn them in at the May meeting.

b) Bridgett has reviewed our outstanding bills for the remainder of this year and beginning of next year. ($16-18,000). She asked the teachers for a wish list of things they need for their rooms. The responses included things like desks, chairs, overheads, lockers for junior high, Bibles, floor mats to replace rugs. With the money we typically have from Walk-a-thon we should be able to spend $5-8000 on these items. It was suggested that a committee meet(Bridgett, Pat Yung, Rich Gunza, and Michelle Heyob) to make up a five year plan for classroom improvements PTA would want to cover. Other ideas discussed were to set aside money for the computer room in anticipation of breakdowns and replacement needs in 5 years; and what we can do to make the science room more useful for all the grades. $5000 was approved as a starting amount for the committee to use for chairs and $1000 dollars for other odd items if the Walk-a-thon earns what they expect.

c) Kim Parker suggested creating a book with names of people in the parish that could help with some of the projects that need to be put into place. She will start by creating a survey that can be sent out to families at the school to see what type of services they might be able to provide to the school when the need arises. (Ex. Who might be able to help install the ceiling fans in the classrooms) We do not tap into our own resources at St. Vivian's.

d) Church Festival asked if PTA would provide a basket for the Festival Raffle. $75 dollars was approved so Barb Ballinger could make something up.

e) Mary Allgeier asked for volunteers to help with the PTA Dunking Booth.(not the people being dunked). Sign up sheet was passed around. If anyone is willing to cover a 2-hour shift please do so. Your children can help with you.
