St. Vivian Education Commission Meeting unofficial minutes

Minutes from March 16th Meeting

Reports:
Pastor: Fr Jack was absent. (Happy Birthday Father)Finance:
Budget finalized at meeting 5-23-00School: Mr. Vance reported
Jr. High (6,7,8) will be departmentalized in the fall. Teachers have made request and teaching assignments have been made. Each will teach 2 subjects and religion.Registration is at approximately 407 students with pre-school. It is anticipated that it will be around 415 students. 8-10 children still have paper work out at this time. Classes will be at no more than 24 students except for grades 2&7. They will be around 25. Kindergarten is full at 41. A parent questioned how we will insure that incoming students are prepared to participate given the current academic standards at St. V. and was concerned that they be prepared before entering in the fall. Mr. Vance said that each child/family is conferenced on this individually and does not anticipate a problem.
Computer update: Library is wired to the central room, office and future lab. This will allow for usage throughout the building. Funds will be needed to add the classrooms to this network in the future.
Safety: The week of 5/10 the children were held after dismissal time due to a robbery at a bank in Finneytown. They were held for approximately 45 minutes. The office did not use the phone tree due to the late notice and closeness to dismissal time. Radio and TV were informed. The walking households were called. This tested our crisis plan and Mr. Vance felt that things went very smoothly. There was a concern about the number of phone lines available in an emergency. The phone issues need to be resolved in the future. Members suggested that a cell phone be purchased for the school. It was also suggested that e-mail addresses be added to the registration forms as a way to notify parents. A quarterly update of the emergency contact person for families was requested also.
Accreditation process: Principal will not be the chairperson but has approached individuals on staff to be the chair. An Internal Review will occur next year and our External Review will occur in 2001-2002 school year.
Parent survey forms: 154 were returned. Discussions took place about how to use the information and how to share the results with families. Mr. Vance shared that due to the accreditation process the survey or something similar must be done every 3 years. Mr. Vance followed up personally with those who had major concerns if a name was given.
Religious Education: Chris reported
Plans for Make Straight the Way are being published.St. Vivian will host the Cluster series events in the fall.
The Cluster events are currently being planned.
Religious Education office is winding down and planning the calendar for fall.
Just Faith ends Monday and Chris is hopeful that it will be offered again next year.
Youth Ministry: Vivian reported for Jodie
Nail Sale is May 21-22 as a fundraiser for a trip to South Webster to work.We currently have one co-ed softball team.
The volleyball camp is filling.

Joe presented information on teacher retention/ long term planning for members to review.Vision statement will be looked at in the future
New Business
Shirley shared a concern about conferences and communication with families. Mr. Vance says that improving this is a goal for next year and a new model is being looked at.Before school starts the Education Commission would like to have a social event to get everyone together. (School staff, PSR, liaison groups ) It is hoped that this will build community, show appreciation for what everyone does, and make sure people recognize the members of Education Commission. Michael, Amy, and Patty will work on this event.
Amy and Shirley will plan and put on the Teacher Appreciation Breakfast.
Change of meeting every other month to meeting monthly is discussed. This will wait until new members join the Commission. Michael feels it will help us not lose track of what is happening. Mr. Vance would like fewer meetings even if they run later.
Vivian will help count the ballots at the elections on May 20-21.
