There is no written contract for the sponsor advertisements in the activity center. Matt Hagen will be asked to verbally approach existing sponsors regarding renewal.

F. Reports from Sport Commissioners

1. Girls Basketball - Mike Collier
a) There are seven teams (3rd, two 4th, 5/6th combined, two 7th, 8th)

b) Received $56 rebate on team photos

c) Instead of expensive programs for tournament, will create team posters for the 8th graders as a keepsake.

2. Girls Volleyball - Beth Hurd

a) Season budget was shared. Expenses exceed revenue by $569 at this time.

3. Boys Basketball - Jim Haverland

a) Fewer players anticipated this year which will mean reduced participation fee revenue. Also higher referee fees. Expenses expected to exceed revenue by $1,956.

b) Signups will be by the end of September.

4. Boys Football - No report

5. Track - No report

6. Boys Baseball - No report

7. Boys Volleyball - No report

8. Girls Softball - No report

G. Reports on Unfinished Business

1. Sponsor Contracts for renewal on scoreboard - Brian will look in old files to see who to contact. Also see report above in Corresponding Secretary portion of minutes.

2. Procedure for splitting teams - Discussed and converged on these general principles:

Use unbiased 3rd party observer

Not necessarily the top "N" players. For example a basketball team needs the right blend of guards and post players to form a team.

The Commissioner has the last word.

Can resplit teams prior to 7th grade if players are developing unevenly.

Splits ideally happen before the coaches know if they will coach the A or B team. Gives coaches incentive to make correct A/B assignments

3. Replace Monte Carlo with Texas Hold'em Tournament - Brian will look at costs to have an outside company run the event. St. Clement and Corpus Christi used an outside firm. Milford Fire Dept had Longhorm Steakhouse run a tournament with grilled steaks for dinner.

4. Review letter to CYO about field conditions at softball tournament - Brian read a draft letter that detailed problems with field conditions and missing umpires. Letter recommends Rumpke or Queen City fields as preferred locations.

5. Annual Golf Outing - No report.

6. New Concession Management - Carol Linz is on the job. No report.

7. Use of Finneytown athletic facilities - High School football field and track will be available for our needs. Finneytown Athletic Association (FAA) is requesting more gym time. St. Vivian activities get some "help" because school activities get higher priority. Brad King, Director of Finneytown facilities handles all requests and assigns times. We anticipate maintaining same time slots but gym locations may be reassigned.

8. Punt, Pass, and Kick Contest - Had 27 boys and 4 girls. Most 5th grade or younger. Event is open to kids ages 8 to 15. Purchased equipment to run event this year ($100). Future years will need only $25/yr for consumable items. Seven children qualified for next level event in Norwood. Date this year conflicted with HS football, X-town shootout at Nippert Stadium. Will pick a more neutral date next year. Need to publicize better for public school children.

H. New Business

1. Winter Sports Signups: Will be September 19.

2. Small teams = More work but More playing time: Coaches will be asked to point out to parents, especially those new to sports programs, that their volunteer hours for things like concessions help pay the way. Smaller teams means more playing time for kids, but also increased volunteer commitment from each family.

3. Need to recruit Active booster members: Booster board has four members in last term of office.

4. Master coaches list at rectory: All coaches must not only have been trained on the child protection decree, including fingerprinting, but also must be listed on the master list on file at the rectory.

5. Electric motors for basketball backboards: will be on agenda for October meeting.
